How to Ship Your Showcase Product
Use the dedicated Smith Expo Showcase Advance Warehouse process for approved New Product Showcase products being shipped to OTOA.
Shipping a New Product Showcase item is different from shipping your regular Vendor Exhibition booth freight. Smith Expo has created a dedicated Showcase Advance Warehouse label and shipping designation specifically for Showcase products.
Showcase products should be identified as OTOA SHOWCASE and sent using the dedicated Showcase Advance Warehouse instructions.
Do not use your regular Vendor Exhibition booth-freight label for a product being shipped specifically for the New Product Showcase.

Label every Showcase package or freight piece using the dedicated Smith Expo Showcase Advance Warehouse information below.
Ship by the Deadline
Showcase freight must arrive at the Smith Expo advance warehouse by 3:00 PM on June 9, 2027.
Showcase Advance Warehouse Shipping Label
Use the following information on all freight, packages, and shipments being sent to the Smith Expo advance warehouse for the New Product Showcase.

Smith Expo will receive and hold properly labeled Showcase shipments at the advance warehouse.
Deadline & Material-Handling Cost
- Advance Warehouse Deadline: Wednesday, June 9, 2027 by 3:00 PM
- Showcase Material-Handling Rate: $40 per 100 lbs.
- Minimum: No minimum weight
Print the Official Smith Expo Showcase Label
The official Showcase Advance Warehouse label is included in the 2027 Smith Expo Exhibitor Service Kit. Vendors shipping Showcase products should use that label on each freight package or shipment.
What Can Be Shipped?
Approved non-firearm New Product Showcase products may be shipped through Smith Expo using the Showcase Advance Warehouse process.
Firearms and ATF-regulated items cannot be shipped through the Showcase Advance Warehouse. Any exhibitor displaying a firearm or ATF-regulated item must personally bring the item to the conference.
Bringing Your Showcase Product With You
Exhibitors may also personally bring an approved Showcase product to the conference rather than shipping it through Smith Expo.
Products brought directly to the conference may be delivered to OTOA on Sunday, June 13, 2027.
What Happens to My Product?
- Approved Showcase products are displayed in an OTOA-staffed Showcase.
- Showcase exposure begins during attendee check-in on Sunday, June 13, 2027 at 4:00 PM.
- Products remain on display during the Monday General Session.
- Products receive additional exposure during the Monday evening Hospitality Meet & Greet.
- Showcase products are returned to the company representative on Tuesday, June 15, 2027 before the Vendor Exhibition.
Showcase Shipping Questions
Is Showcase freight shipped to the same Smith Expo warehouse as regular booth freight?
Yes. Both use the Smith Expo advance warehouse at 1173 Airport Pkwy, Ste. C, Greenwood, Indiana 46143.
However, Showcase freight uses the separate OTOA SHOWCASE C/O Smith Expo designation and identifies the room as OTOA ADMIN OFFICE.
Should I use my Vendor Exhibition booth number on the Showcase label?
No booth-number field is shown on the dedicated Showcase Advance Warehouse label. The Smith Expo label identifies the shipment using your company name and the room designation OTOA ADMIN OFFICE.
Do I need a Showcase label on every package?
Yes. The Smith Expo instructions state to use the Showcase Advance Warehouse label on all freight, packages, and shipments sent to the advance warehouse for the Showcase.
Can I ship my Showcase product directly to Kalahari?
For Showcase products, vendors should use the dedicated Smith Expo Showcase Advance Warehouse process shown on this page.
The Smith Expo kit provides a specific Showcase Advance Warehouse label for this purpose.
Can I personally bring my Showcase product instead of shipping it?
Yes. Approved Showcase products may be personally brought to the conference and delivered to OTOA on Sunday, June 13, 2027.
